In this series of two seminars, we address the steps needed to achieve the full financial and patient-care goal that can be achieved through implementing a methodical approach that goes beyond eRostering.

 

We welcome you to participate in either or both of these seminars. An exciting, half day seminar or a subsequent full day seminar, in an interactive discussion group format, led by pioneers in electronic Staffing management, Nursing workload planning and Overtime management.

 

In the full day seminar, the keynote speaker will be Dr. Keith Hurst. He will speak about recent advances in Nursing Workload Planning. The shorter seminar will address this topic in terms of current practices only. Other topics include how to conduct a site visit, what to ask for in a system demonstration - avoiding the "beauty contest," understanding the new web world, effect of judging on superficial aspects alone, demystifying ESR interfaces by understanding what the real problems are, the biggest challenge in eRostering - achieving full adoption. Finally, why one should be careful to avoid letting the tail wag the dog - i.e. avoid letting a Bank System determine your eRostering system.

 

This seminar series benefits from many lessons learned in eRostering in the USA where it has been in operating since 1995. Serious errors made in eRostering deployments in the USA have caused a fear of eRostering and thus has been ill–perceived among many hospitals for over 5 years until modern day companies came in during the period 2004 to date. One of these early US companies installed some 20 sites in the UK and left the same reluctance in NHS Trusts. Modern technology and enhanced sensitivity in the designs to ultimate NHS goals has created a new beginning for eRostering and affiliated and essential systems.

 

The key to success is comprehensive, accurate personalised and real-time information to support managers and executives. Add to this usability for staff and knowing how to address the change management factors necessary for success, including easy participation of all users, limiting the variety of policies so some level of standardization is achieved, and creating a paperless environment within 2 years of introduction. A high ethical standing of the supplier is also important. All of this is key to delivering high quality of patient care via efficient staffing, that in turn can only be achieved in a true partnership with a devoted supplier.

 

Alignment with the entire health care delivery process involved is needed to accomplish the above. The patient experience is directly affected by (a) staff rosters which are satisfying and equitable, (b) empowered staff, (c) the right skill mix, (d) adequate establishment, and (e) the optimal use of resources invoked from the Bank when needed. Several departures of alignment are currently present in NHS deployments of eRostering, frustrating the goals of NHS executives. One of these is letting eRostering to be subservient to a Bank process / system. A Bank management system is an extremely simple IT application. To be effective it has to share the same database as the eRostering application. Another integration need is the Workload estimation system, which is the input source for eRostering. Lack of a scientific approach to estimating the correct skill mix also causes misalignment with serious consequences in patient care and finances.

Half Day Seminar

The seminar addresses information support, essential for delivering high quality of patient care, the key priority of the NHS. Financial management of this delivery is an important consideration. Aligning with the entire process chain involved is needed to do the above. The patient experience is directly affected by satisfying staff schedules, empowered staff, the right skill mix, adequate establishment, and the best resources invoked from the Bank when needed. Several departures of misalignment are present, one of which is letting eRostering be subservient to a Bank process / system. Lack of a scientific approach to knowing the correct skill mix is another.
